The problem: a store room run on trust

Notebooks, uniforms, lab glassware and sports equipment go in and out of a school store every week. The stock register is updated when someone remembers, projectors and laptops move between rooms without a record, and the yearly audit turns into a search.

How it works in Campus One

Stock is the sum of its movements. Every receipt, issue, return, transfer, adjustment, damage or loss is recorded as a movement, and the current stock is worked out from them. There is no box where someone types the stock figure, so the number on screen always matches the record behind it. Stock is valued at its weighted average cost.

Fixed assets such as projectors, computers and furniture have their own register: assign an asset to a room or a person, move it, record its condition, raise and close maintenance, and retire it. Each asset carries a tag code that never contains a person's name; Campus One prints it as a QR code and a barcode on a label from the browser, and the scanner in the app finds the asset from the code.

Purchases follow the school's steps: a request, a decision, a purchase order and the goods received note. Vendors and storage locations have their own pages, and audits compare what is counted with what the ledger expects.

Who uses it

  • The store in-charge issues, receives and counts stock.
  • The operations manager approves purchases and tracks assets.
  • The principal sees what is running low and what an audit found.

What it does not do yet

  • Labels print from the browser; output for thermal label printers is not supported.
  • Opening an asset by pointing a phone camera at its tag outside the app is not built yet.

Questions

Can someone change the stock figure directly?

No. Current stock is the sum of recorded movements: issues, returns, transfers, adjustments and receipts. To change it, you record a movement with a reason.

What do the asset tags carry?

A code for the asset, never a person's name. The code is printed as a QR code and a barcode on a label from the browser.
