Admissions in one pipeline, and a record that starts there

The problem: enquiries that slip through

Admission season brings enquiries by phone, at the gate and through relatives. They end up in a notebook, a spreadsheet and someone's phone. Follow-ups are missed, a family is called twice, and when a child is finally admitted the office types the same details again into the student register.

How it works in Campus One

Every enquiry enters one pipeline and moves through the stages a school already uses: enquiry, application, offer and admission. Counsellors can drag an enquiry along the board, but admission itself is deliberately not a drag: it is a step a person takes on purpose.

On an enquiry, staff can qualify it, schedule a follow-up, book a campus visit, start the application, check documents, record the decision and the offer, and finally admit the child. Overdue follow-ups are flagged, and the admissions view groups the enquiries that are at risk of being lost so the team can act on them first.

When the phone number on a new enquiry matches a family already in the school, Campus One shows that a sibling may already be enrolled. It does not merge anything by itself: the existing family record is reused only when a person admits the child.

Admission opens the student record: the student's details, family, documents, attendance, academics, communication and admission history in one place. Missing or expiring documents show up as a list the office can work through.

Who uses it

  • Admissions counsellors work the pipeline and the follow-ups.
  • The office keeps student records and documents up to date.
  • The principal sees the funnel and the follow-ups that are overdue.

What it does not do yet

  • There is no admission form on this website and no parent login: admissions are entered by the school.
  • Moving a whole class to the next academic year in one step is not built yet.
  • An import wizard for merging old records is not built yet; data is imported with the team at set-up.

Questions

Can parents apply for admission on this website?

No. Admissions are handled by the school inside Campus One; this website has no admission form.

What happens when a family already has a child in the school?

A matching phone number shows a possible sibling on the enquiry. Staff decide; the family record is only reused when a person admits the child.

Can we export the lists?

Yes. The student and admissions reports can be exported as CSV files.
